APV stands for Workplace Assessment, a tool designed to help you gain a deeper understanding of workplace well-being. Overall, the assessment is intended to help ensure employee well-being, motivation, and productivity, which ultimately helps reduce costs associated with, for example, sick leave. In addition, it is mandatory for all companies with at least one employee to conduct a Workplace Assessment. If you haven’t conducted a Workplace Assessment recently, we’ve put together an overview of the requirements for preparing one.

When should a workplace assessment be conducted?

As a general rule, the workplace assessment must be conducted at least once every three years, but the exact timing within that three-year period is up to the employer. However, if the company makes changes that affect the work environment, the workplace assessment must be revised.

What are the requirements for a workplace assessment?

As mentioned, it is a requirement that a workplace safety and health assessment (APV) be conducted every three years and that it be updated on an ongoing basis if changes are made that affect the work environment. In addition, the following requirements apply to the APV:

  • The employer is responsible for ensuring that a workplace assessment is conducted. It must be clearly stated who is responsible for implementing the resulting action plan.
  • The assessment must be in writing and made available to management, employees, and the Danish Working Environment Authority.
  • Management and employees (the occupational health and safety committee) must work together throughout the entire process.

In general, there is flexibility regarding the method used to conduct the workplace assessment, but it must include the following five specific phases:

  • Identification and mapping

The first part of the assessment is intended to examine the physical and psychological work environment at the company. For example, you can use a workplace assessment questionnaire or conduct interviews.

  • Description and assessment of the company's workplace safety issues

The second point should assess how any issues identified during the first phase can be resolved, with a focus on preventing those issues from arising in the future.

  • Inclusion of the company's sick leave

It is important that the workplace assessment identifies whether there are work-related factors that contribute to increased absenteeism due to illness.

  • Development of an action plan

An APV action plan is then developed with the aim of resolving the identified issues.

  • Follow-up on the action plan

Finally, a follow-up on the action plan must be conducted. This should determine whether the solution has been effective or whether the action plan needs to be revised.
